Bill of Lading Explained: Your Most Important Shipping Document

The Bill of Lading (B/L or BoL) is the single most important document in international shipping. It serves three critical functions:

1. Receipt of goods: It confirms that the shipping line has received your vehicle in a specified condition
2. Contract of carriage: It constitutes the contract between you (the shipper) and the shipping line for transporting your vehicle
3. Document of title: It proves ownership — whoever holds the original Bill of Lading has the right to claim the goods at the destination

Without a valid Bill of Lading, your vehicle cannot be released at the destination port. A standard Bill of Lading for vehicle shipping includes:

Shipper details: Name and address of the person or company sending the vehicle (usually you or Ship Cars RoRo on your behalf).

Consignee details: Name and address of the person or company receiving the vehicle at the destination.

Notify party: The party to be notified when the vessel arrives at the destination port (often a customs broker or freight agent).

Vehicle details:
• Make, model, and year of manufacture
• VIN (Vehicle Identification Number) / chassis number
• Colour
• Declared value

Shipping details:
• Vessel name and voyage number
• Port of loading (e.g., Southampton)
• Port of discharge (e.g., Jebel Ali)
• Number of containers or 'units' (for RORO)
• Freight terms (prepaid or collect)

Date: The date the vehicle was loaded onto the vessel — this is the 'shipped on board' date.

Several types of B/L exist in international shipping:

Original Bill of Lading (OBL):
• Physical paper document, usually issued in triplicate
• Must be presented at the destination port to claim the vehicle
• Sent by courier to the consignee or their agent
• Used when the destination requires original documents (common in Africa and Asia)

Telex Release / Express Release:
• Electronic release — no physical document needs to be presented
• The shipping line sends a telex/electronic message to the destination port authorising release
• Faster and more convenient than original B/L
• Standard for most USA, Australian, and European destinations

Seaway Bill:
• A non-negotiable document
• Acts as a receipt and contract but not a document of title
• Used when the shipper and consignee are the same entity

Incorrect consignee details: The name on the B/L must exactly match the ID of the person collecting the vehicle. Any discrepancy can prevent release.

Late telex release: For telex/express releases, the release message must reach the destination before the vessel arrives, or delays occur.

Incorrect vehicle details: The VIN, make, model, and colour on the B/L must exactly match the physical vehicle. Customs will refuse to clear mismatched vehicles.

Freight payment: If freight is marked as 'collect' (payable at destination), it must be paid before the vehicle is released.

• The B/L reference is linked to the export customs declaration
• It confirms the vehicle has been loaded and exported

At the destination import end:
• The customs broker presents the B/L (or telex release reference) to customs
• Customs verifies the vehicle details match the import declaration
• The B/L is surrendered to the shipping line's agent in exchange for a delivery order
• The delivery order authorises the port terminal to release the vehicle

Important: Never ship a vehicle without ensuring the B/L arrangements are clear. Know whether originals or telex release will be used, and ensure the consignee details are correct before the vessel sails.
